When auto-approval of Works blocks is set to Off, the following manual steps to approve a works blocks apply: •Click on one of the days in the work block. •Click the Approve button. A notification will be sent to the Licence Holder to inform them that their Works block has been approved. |
Open the Works Programme and click the Block/Unblock Days button. Select one or more consecutive days on the calendar and click Save. The blocked days will be highlighted in red on the Works Programme calendar and will be unavailable to the applicant to select when creating their Works blocks. |
Open the Works Programme and click the Block/Unblock Days button. Select each day that you wish to unblock - causing the date cell background colour to change from grey to white - and click Save. |
The applicant can submit a request for an extension to the licence validity period and/or the works days. •Notifications will be issued to the user currently assigned to the licence. •Extension Requests are listed on the Extensions Requests task list. •When viewing a licence, if there an extension request exists the sidebar will display an option named Review Extensions(s) Requested or Review Days Extension Requested. |
If a extension to the validity period has been requested, the sidebar will display an option named Review Extension Requested. Details of any previously processed extensions are shown in the table below the Works Programme. This should be reviewed before deciding if another extension is appropriate. Deny Extension Request1. If denying the request, enter an explanatory note for the applicant (and colleagues). 2. Click Deny. The applicant will be notified that the request has been denied and the reason given. Approve Extension Request1.The requested extension (end) date will be shown. This date can be left as requested or changed to a date that the licensing authority feels is more appropriate. 2.Enter an explanatory note / comment. 3.Click Approve. The applicant will be notified that the request has been approved and the note / comment given. |
If a request has been made for additional work days then the sidebar will display an option named Review Days Extension requested. Details of any previously processed extensions are shown in the table below the Works Programme. This should be reviewed before deciding if another extension is appropriate. Deny Work Days Request1. The licensing authority can extend the licence by selecting the Extend Licence option shown on the sidebar. This will not be available if the applicant has already submitted a licence extension request. 1.The current end date of the validity period of the licence will be displayed. Enter the date that you wish to extend the licence to. 2.Enter the reason for the extension and click Confirm. The applicant will be notified that the licence has been extended. |
The licensing authority can allocate additional work days for a licence by using the Extend Work Days option shown on the sidebar. Note, this will not be available if the applicant has already made a request for additional days which is still pending approval. 1.The total number of work days allocated will be displayed. Enter the number of additional days that you wish to allocate. 2.Enter the reason for the additional work days and click Confirm. The applicant will be notified that additional work days have been granted. |
The Licensing Authority can choose to automate the approval of a Works Programme’s works blocks on a per licence basis. Auto Approval can be switched on or off at any stage up to and including the Validity stage.
This feature is available to the following users: 1.Conditioner Approver 2.Inspector 3.Inspector Approver
Step 1: Open the Works Programme Tab and click ‘Change’ to set the “Auto-Approve Works Blocks” status.
Step 2: On the “Change Auto Approve Works Blocks Status” pop-up, select On/Off from the drop down and then click the 'Confirm' button. |
To assist with determining whether a new extension request should be approved or not, the details of all extensions processed for the validity period and/or works days are shown on the Works Programme screen. The information shown is as follows: •The current validity period date and works days •The planned validity period date and works days For each request/extension granted, the following information will be shown: •Request Date •Requested by - if the extension was granted without a request this will display N/A •Extension Type: (Site Works) Days Extension, (Validity Period) Duration Extension •Status: Approved or Denied •Approved End Date - if this was a Works Days extension or the validity period extension request was denied the value shown will be N/A •Approved Works Days - if this was a Validity Period extension or the works days extension request was denied the value shown will be N/A |
The works programme should be used by the applicant to plan for necessary remedial works where the reinstatement has become defective. This feature should never be used to conduct new works. The post-works, Works Programme is available during the licence stages: 1.Validity Expired 2.Sign-Off 3.Guarantee Approving planned days follows the same process as the regular works programme. The applicant should submit, activate and close their works blocks in line with the rules set out in the Purple Book. It is no longer possible or necessary to extend the validity period or amount of permitted work days during Post-works. |
