Documents

The Documents screen has been redesigned with many improvements. This includes:

❖Sorting and filtering options are available on the lists. (Click on the column heading to use the filter).

❖Changes to categories and new types added. Licence Certificates, Licence Extensions and Works Particulars are shown under a Certificate category.

❖The stage that the licence was in when the document was uploaded is displayed on the Documents and Collections list.

❖The excavation code for files uploaded for a specific excavation is shown in the documents list.

Changes to how documents can be viewed

With the growing number of documents required on a licence, there was a need to enable users to more quickly find documents and to change how documents were organised.  

Documents are now organised by Collection, which allows for related documents to be linked together. Documents can still be viewed using the View Documents screen. Sorting and filtering is provided on both lists.

•Files relating to Certificates are shown in category named Certificates. This category includes the Licence Certificate, Licence Extension and Works Particulars.

•A Show Deleted Documents checkbox is displayed if there are any deleted documents stored for the licence. The document will appear in the list and shown with a status of Deleted.

Surveys

The Documents tab on the licence is now also used for collecting details of surveys that have been carried out.

The applicant's designated Approved Certifier can upload files for a survey to the Documents tab on the licence, choosing from Pre-works, During works and Post works, and will be automatically published and made available to the licensing authority users to download.

Request a survey: A request can be made to the applicant to perform a survey using the Document Request facility and selecting the survey type required: Pre-works, During Works or Post Works).

The licensing authority can also upload details for any pre-works survey carried out by the licensing authority. The inspections area should continue to be used by licensing authorities when inspection survey during or post works.
